Preparing your tools

At this stage you should have a clear idea of your itinerary, and it is a good time to check you have the tools necessary to keep the team running smoothly.

  • Is your project plan up to date and can you access it both remotely and offline?
  • Do you have daily schedules prepared and are they ready for distribution to management and players, along with relevant information packs?
  • Are your checklists up to date e.g. equipment list, travel booking numbers etc?
  • Have you and your colleagues provided all the necessary information to tournament organisers like squad names and arrival times? Double check the information required of the medical team. Baseline information on the SCRM app, cardiac screening complete, injury surveillance study requirements are clearly understood. This may not be your sole responsibility, but it is helpful to understand if there are any requirements left unfulfilled.
  • Do you have a complete list of all the hotels, training grounds, gym, pools, medical facilities and match venues you are likely to visit with addresses? Do you have contact numbers for all the on-site staff who will work with you during the tournament.
  • Do you have a list of daily duties ready for players and other management? Do you know what tasks you will ask your Liaison Officer to fulfil. Writing some of these down will help with your daily scheduling.
  • Have you produced a travel pack for squad members.  Everything from expected weather, currency and electrical adaptors, to key phrases in the local language and cultural customs should be included.
