Information you will need

Once appointed as Tournament Manager, there is some basic information you’ll need from the Tournament host organization, host committee or both (where applicable). The following list gives you an idea of the questions you could ask at this stage.

  1. What are the Tournament venues details and start times?
  2. Are the field surfaces artificial or natural?
  3. If it’s an artificial surface, is the pitch certified to World Rugby Regulation 22?
  4. What are the playing enclosure dimensions for your game format (including length, width, in-goal dimension and safety perimeter)?
  5. Is there any concern regarding the current conditions of the surfaces?
  6. Are there any concerns regarding weather conditions that could affect the pitch conditions in the build-up to the Tournament?
  7. What are the contact details for the Venue Manager?
  8.  What are the contact details for the lead contact for the Host Committee  (if different from the Tournament host organization)?
  9. What are the team schedules (including arrival, departure, venue familiarisation and teams’ whereabouts)?
  10. What are the Team Managers' contact details?
  11. When is the Team Managers' meeting (if applicable)?
  12. Is there a contact list for key Tournament staff such as Field Managers, Referees, Citing Commissioner, Judicial Officer, and Doping Control Officer (if applicable)?
  13. What are the Rules of Competition for the tournament, and are any Laws variations or trials being applied? 

For Community Festival-style events, you are advised to review the above list to determine which applies to your event, and details about the tournament categories, for example:

  • how many categories
  • how many teams in each category
  • what are the field specifications and laws for the different categories.
